A free Gmail address can carry a new idea through its first few weeks.

But once customers send quotations, contracts, and payment details to [email protected], that free address starts working against the business.

I reviewed five business email providers that serve Kenyan companies. I checked their published prices, storage, billing terms, administration tools, and office applications on 11 July 2026.

I will help you choose between low-cost email hosting and a full productivity suite without paying for tools your team will not use.

The short answer: choose by the way your team works

  • Choose our Workplace email when you want low-cost custom mailboxes, KES pricing, and local support.

  • Choose Google Workspace through us or buy directly from Google when your team works in Gmail, Drive, Docs, and Meet.

  • Choose Microsoft 365 through us or buy directly from Microsoft when Outlook, Teams, Word, Excel, and OneDrive run your office.

  • Choose Zoho Mail when you want a low-cost, mail-focused service with per-user billing.

  • Choose Hosting.com when you want to manage website hosting and email from the same cPanel account.

My rule: buy the smallest plan that covers the way your team communicates today, then check how easily you can add users tomorrow.

How I selected these business email providers

I compared:

  • email hosting prices;

  • billing periods and renewal commitments;

  • mailbox and file-storage capacity;

  • office, meeting, and collaboration tools;

  • administrator and security controls; and

  • the best-fit buyer for each provider.

I did not run an independent uptime or deliverability test. The recommendations below reflect published features, current prices, and practical fit for Kenyan SMEs.

That distinction counts. A one-person consultancy needs a different service from a 40-person company with shared files, scheduled meetings, and formal staff access controls.

Our Workplace Starter price buys one mailbox plus office and collaboration tools under a package plan. Google Workspace, Microsoft 365, and Zoho Mail use per-user licences.

When you pay a direct USD invoice from Kenya, your bank may add currency-conversion costs. Tax and renewal terms can also change the final amount.

1) Truehost Workplace: get email and office tools in one plan

Who should choose Workplace email?

Choose it when you:

  • want to pay in KES;

  • need one to five mailboxes;

  • value local setup and account support;

  • already own or plan to register a .co.ke domain; and

  • want documents, spreadsheets, presentations, storage, and calendars in the same plan.

What should you check first?

The annual charge is the price you pay. We show KSh 56 only as the monthly equivalent of KSh 672 per year.

Check storage, too. A 3 GB mailbox can fill quickly when a staff member receives large catalogues, photographs, or design files.

2) Google Workspace: choose Gmail plus a full work suite

Google Workspace lets your team keep the Gmail interface while using addresses such as [email protected].

Business Starter also includes Calendar, Drive, Docs, Sheets, Slides, Meet, and administrator controls. Google now includes Gemini features in the plan.

You have two buying routes.

Buy Google Workspace through Truehost

We list Google Workspace Starter at KSh 12,825 per user per year.

That equals KSh 1,069 per user per month for comparison. We bill the Truehost plan annually.

The plan includes:

  • 30 GB of storage per user;

  • custom business email;

  • Gemini in Gmail;

  • Google Drive and office apps; and

  • video meetings for up to 100 participants.

Buy directly from Google

Google lists Business Starter at US$7 per user per month on its annual plan.

Five direct licences therefore start at US$35 per month before tax and currency conversion. A flexible plan or later renewal may use a different rate.

Where does Google Workspace fit?

Choose it when employees already work in Gmail and Google Drive, edit files together, or meet through Google Meet.

Do not buy extra licences for simple role addresses without checking aliases and Groups. For example, you may route [email protected] to an existing user instead of creating another paid inbox.

3) Microsoft 365: choose Outlook, Office, and Teams

Microsoft 365 Business Basic suits a company that already runs on Outlook, Teams, Word, Excel, PowerPoint, and OneDrive.

Like Google Workspace, Microsoft 365 gives you a direct purchase route and a Truehost route.

Microsoft’s US page lists Business Basic with Teams at US$6 per user per month when paid yearly. Microsoft caps its Business plans at 300 users.

Read the application line carefully.

Business Basic gives you browser and mobile Office apps. It does not give you the installed desktop editions of Word, Excel, and the other Office programs.

4) Zoho Mail: keep the per-user email cost low

Zoho Mail targets teams that want a dedicated email platform without the Google or Microsoft price.

Mail Lite starts at US$1 per user per month when billed annually. The entry version gives each user 5 GB of mail storage.

Mail Premium costs US$4 per user per month on annual billing. It increases mail storage to 50 GB and adds retention features.

Zoho also advertises a free plan for one domain and up to five users in selected data centres. That plan excludes IMAP, POP, and ActiveSync.

Check two points before relying on the free option:

  • Does Zoho offer it in the data centre available to your Kenyan account?

  • Can your team work through webmail without desktop-client access?

Zoho fits a cost-conscious team that accepts annual USD billing and wants more email administration than a basic hosting mailbox.

5) Hosting.com: keep cPanel email beside your website

Hosting.com includes email management with selected cPanel hosting plans.

This setup lets one person or agency manage the domain, website files, databases, and mailboxes from one control panel.

Convenience creates a trade-off.

The hosting package controls mailbox count, storage, backups, and other email resources. You do not get the clean per-user model that Google, Microsoft, and Zoho publish.

Hosting.com’s terms also allow the service to remove older trash and spam. Backup conditions and IP reputation can affect recovery and delivery.

Choose this route if you already host the website there and understand cPanel. Keep a separate archive when email records carry commercial or legal value.

What will three mailboxes cost a Nairobi consultancy?

Imagine a consultancy with three employees: Amina handles accounts, Brian handles sales, and Carol directs the company.

They want three separate logins:

A per-user platform multiplies its seat price by three. The direct Google Workspace annual plan, for example, starts at US$21 per month for three users.

That does not automatically make Workplace the better purchase.

If the consultancy edits proposals in Docs, stores client files in Drive, and runs meetings in Meet, Google Workspace may replace several separate tools. If the team only needs email, the package plan may save money.

Count the full cost before you choose

I use six checks to compare the real bill:

  1. Count people, not addresses. A user needs a separate mailbox when they need a private login, storage, and password.

  2. Separate aliases from users. You can route [email protected] to an existing mailbox without creating another employee account.

  3. Read the billing term. Workplace Starter costs KSh 672 per year; KSh 56 is only its monthly equivalent.

  4. Add the domain. You need control of example.co.ke before you can create [email protected].

  5. Add tax and currency costs. A USD invoice may cost more after your bank converts KES.

  6. Check migration and renewal. Ask who will move old mail and what you will pay after any introductory period.

Five features protect you better than a large mailbox

a) SPF, DKIM, and DMARC

These DNS records help receiving systems verify your mail.

Google’s email sender guidelines require every sender to personal Gmail accounts to use SPF or DKIM. Bulk senders must use SPF, DKIM, and DMARC.

A typical SPF value looks like this:

v=spf1 include:_spf.google.com ~all

Do not copy that value unless Google Workspace sends all your mail. Your provider must give you the correct record for your setup.

b) Two-factor authentication

A stolen password should not give an attacker immediate access to company mail.

Turn on two-factor authentication for users and administrators. Also confirm that an administrator can suspend a former employee, reset a password, and review forwarding rules.

c) Backups and retention

Storage gives you space. It does not always give you a recoverable backup.

Ask how long the provider retains deleted messages, what recovery costs, and how you can export mail. A law firm, SACCO, school, or clinic may need a separate archive.

d) Useful support

Local support can help when you need to connect a .co.ke domain, update MX records, or pay in KES.

A company with an internal IT team may care more about audit logs, automated user management, device controls, and compliance features.

e) A clean exit

Keep the domain in the company’s name. Document the administrator account and recovery method.

You should also know how to export messages before years of mail turn a simple migration into a rescue project.

Set up your chosen service without hurting delivery

  1. Confirm that the company controls the domain.

  2. Create named users and only the role aliases you need.

  3. Point the domain’s MX records to the new provider.

  4. Publish the provider’s SPF record and enable DKIM.

  5. Start DMARC in monitoring mode and review the reports.

  6. Turn on two-factor authentication.

  7. Send test messages to Gmail and Outlook.

  8. Check the message headers and confirm that authentication passes.

Google recommends enabling SPF and DKIM before you enforce DMARC. Its DMARC rollout guide also recommends monitoring reports before moving to quarantine or reject.

Setup warning: remember every legitimate sender. Your website forms, invoicing platform, CRM, and email-marketing service may all send mail for the same domain.

Do I need a website before I create business email?

No. You need a domain and an email service, but you do not need a finished website.

Can I use a .co.ke domain with Gmail or Outlook?

Yes. Google Workspace can display your custom address in Gmail, while Microsoft 365 can run it through Outlook.

You prove domain ownership and add the provider’s MX, SPF, and DKIM records.

Is the email bundled with web hosting enough?

It can serve a small company with light email use.

Can I change providers without changing my address?

Yes. Keep the domain, recreate the accounts, copy the old mail, and change the MX records.

Plan the switch carefully so new messages do not split between the old and new systems.

Should I choose Google Workspace or Microsoft 365?

Choose Google Workspace when your team prefers Gmail, Drive, Docs, and browser-based collaboration.

Choose Microsoft 365 when Outlook, Teams, Office file compatibility, and OneDrive shape the workday. Compare the exact tier because entry plans do not include the same applications.

Pick the inbox your team can manage

Start with the work, not the logo.

Keep the domain under company control. Configure authentication. Record the renewal date and administrator access.
