Work from the same project folder

Keep the documents people need close to the work they are doing.

A handover people can follow

A folder for each job gives a colleague somewhere to pick up the brief, supporting images and final documents. Give folders clear names so another person can continue the work without asking who has the latest attachment.

Access from your usual devices

Nextcloud has desktop and mobile applications. A colleague can review a document away from the office, then return to the same project on a computer. Decide which folders belong on each device rather than copying the whole workspace everywhere.

Sharing that fits the task

An outside reviewer may need to read a proposal while your team edits the source files. Use the appropriate link or account permissions for each person. Review access when a job ends or someone changes roles.

Useful places to start

These are examples of how you could organise a workspace, not customer results.

Tender documents

Put the requirements, draft response and approved submission in one folder. Keep the submitted version separate so later edits do not blur what you actually sent.

Branch paperwork

A business with several branches can arrange documents by branch and month. The person collecting the records can then check what has arrived without sorting through a long email chain.

Client review

Give a client a clear place to review agreed deliverables. Separate working notes from the files you want them to see, and name the person responsible for handling feedback.

From a small trial to everyday use

A short pilot reveals access and filing problems before you move a busy team.

Pick a real project

Use an active job with familiar documents and a small group of colleagues. A realistic folder is more useful than an empty demonstration.

Agree the folder owners

Name who creates folders, approves outside access and closes completed jobs. Keep those responsibilities visible to the team.

Try the daily tasks

Upload a document, make an edit, open it on another device and ask a colleague to retrieve it. Check the sharing permissions from the recipient’s side.

Move the remaining work

Bring over folders in manageable batches. Tell everyone when the new workspace becomes the place for current work, and retain your originals until you have checked the move.

Plan for files, access and recovery

Storage for the next stage

Compare the storage, memory and processor shown beside each plan. Leave room for incoming work and large attachments; the number of user accounts alone does not describe the load.

A sensible app selection

Our catalogue lists file sharing, Calendar and Contacts. Start with the tools your team will actually use. Additional document-editing or meeting services need their own configuration and capacity checks.

A separate recovery copy

A synced deletion can reach other devices. Arrange a backup that covers the data, configuration and database, plus any custom apps or themes. Test that you can recover a representative project.

An accountable administrator

Someone needs to manage accounts, review access and keep the software maintained. Write down how colleagues report a problem and how you will handle a lost device or a departing employee.

Questions before you choose

What does a private Nextcloud instance give us?

Your colleagues use one hosted Nextcloud workspace for the files and enabled apps you choose. You manage its folder organisation and user access. Our plans provide the hosting resources shown in the plan comparison.

Which plan fits a small team?

Begin with the size of your files and the work people will do at the same time. A small document collection behaves differently from a team uploading large videos. Compare the listed resources and allow space for growth rather than choosing from headcount alone.

Can a client receive files without joining our team?

Nextcloud supports sharing links as well as account-based access. Choose a link when it suits a limited handoff, and an account when someone needs ongoing access. Check the recipient’s permissions before sharing sensitive material.

How do desktop and phone access differ?

Desktop clients can synchronise selected folders. A phone gives you another way to open and upload files, with behaviour that depends on its application and settings. Try the devices your colleagues actually use before defining your filing routine.

Does this include online document editing?

The hosting catalogue lists collaboration capabilities, but the available editing tools depend on installed applications and their configuration. If browser editing is essential, establish the required office service and test your usual document formats before moving the team.

Can we bring files from another storage service?

You can prepare an export from your current service and organise it for the new workspace. Run a trial with a few folders first. Check file counts, open sample documents and recreate access rules where the old service’s permissions do not carry over.

What should we do when a colleague leaves?

Transfer ownership of their working folders and review any links they created. Then remove the access they no longer need. A simple offboarding checklist makes this part of the staff handover rather than an occasional cleanup.

Does sync protect us from accidental deletion?

Sync follows changes to working files, including deletions. Recovery needs a separate backup and a tested restore process. File-version and deleted-file tools can help with some mistakes, but their settings and retention do not replace a recovery plan.

Can we add Calendar and Contacts?

Those capabilities appear in our Kenya Nextcloud catalogue. Set up the accounts and client connections your team needs, then test a shared contact or appointment. Use the same access planning you apply to project files.

Where do we choose the billing term?

The plan selector shows the available terms and the amount due for each. Compare the full charge as well as any monthly equivalent. The order page confirms your chosen service and billing period before payment.

Make room for your team’s working files.

Compare the available resources, choose a plan and begin with a project your colleagues already know.
